The Management Systems Coordinator reports to the Quality Manager. 

 

Job dimensions

The Management Systems Coordinator will lead/coordinate the utilization of the quality management system.  The role supports the business in maintaining the management system and maximizing value from its use on the site. The role requires broadened technical skills in analytical/scientific methods or operational processes to perform a defined array of activities.  

 

Activities

Quality Systems Leader

  • Leads the Management Review to assess work process and drive improvement.
  • Coordinates all internal audits, captures gaps and drives improvements to close gaps.
  • Perform gap analysis on management systems processes, identify opportunities and implement needed improvements.
  • IT focal point for the site.  Liaison between IT and site personnel in implementing solutions the Company IT group identifies.

Document Control Administrator

  • Plans, implements and maintains all documents being used by site personnel to ensure all documents are up to date. 
  • Record retention focal point. Ensures that proper retention schedules are being applied/maintained. 

Training Coordinator

  • Develop, implement, coordinate, and maintain the plant training program and records to ensure compliance is achieved for all training policies and requirements. (i. e. retraining frequencies, Department Training Matrix, needs analysis, etc).
  • Works with supervisors and employees to develop and maintain employee specific training schedules/plans. 
  • Owns the New Employee Checklist and is responsible for setting up all new employees with the checklist & responsible for reviewing completed checklist for 100% completion. 
  • Works with Management of Change (MOC) owners to ensure that training requirements for individual MOCs (management of change) are achieved.

Change Coordinator

  • Administers the change management work process.
  • Confirms that all required change management steps are completed for each change.
  • Maintains the change management database so that all changes are addressed in a timely fashion.

 

Context and Environment

  • Mostly an office setting but also occasional interactions on the shop floor.
  • A fast-paced environment where you are involved in a wide variety of functions and activities.
  • Use of computer software, both PC-based and enterprise systems, combined with frequent interpersonal communication.

 

Accountabilities

  • Maintain and improve the management systems to meet the robust regulations of Quality AS9100/ISO9001, Process Safety Management regulation, OSHA, and all other regulatory boards. 

 

Qualifications / Experience Required

  • Continuous improvement mindset 
  • Strong problem solving and analytical thinking skills. Able to understand and resolve technical problems in work area.
  • Have a desire to learn and develop technical skills to keep current with changing operations.
  • Comfortable working with computers and able to learn new systems quickly.
  • Proficient in Microsoft applications such as Excel, Word, PowerPoint, and Outlook.
  • Demonstrates excellent decision-making skills, ability to prioritize appropriately.
  • Able to communicate well, verbally and in writing, with a very diverse population across the site.
  • Able to plan, organize, and monitor multiple concurrent projects in order to meet established goals.
  • Able to work independently and show high initiative.
  • A self-starter who is self-motivated and can identify, prioritize and accomplish multiple tasks
