Position Summary:

As the Executive Assistant you will be responsible for providing confidential administrative support for management staff, to include CEO, Vice Presidents, and Management Staff of Executive Management.

Primary Duties and Responsibilities:

  • Serve as a primary contact and authoritative information source on CEO’s activities and responds to internal and external inquiries about the operation. 
  • Arrange meetings, appointments, and travel schedules for the CEO/President.
  • Coordinate schedules and some travel arrangements for visitors from France and other international locations.
  • Complete and submit expense reporting for CEO.
  • Answer calls and callers.  Review and route mail.
  • Prepares correspondence from proposals, manuscripts and other written information, composing responses as appropriate.
  • Assist with trade show registration and hospitality arrangements.
  • Prepare business presentations, update organizational structures, assist with Town Hall presentations.
  • Completes Passport, Passport Renewal and Visa applications for employees.
  • Setup and maintain sensitive files, including personal and confidential information.
  • Gathers, assembles and analyzes information and data from a variety of sources in preparation of related travel reports making sure that information is timely and accurate.
  • Refers routine matters to appropriate parties for action and follows up to ensure proper disposition.
  • Responsible for maintaining office supplies, to include coffee & related items.
  • Responsible for arranging lunches as needed.
  • Scheduling of events, ensuring meeting room is always clean and presentable.
  • Assists in other duties as required.

Education and Experience Requirements:

  • A four-year degree, preferably in Business, Communications or Marketing or equivalent experience
  • Three to five years in progressively challenging administrative roles
  • One to two years in an executive assistant position preferred
  • Experience as a paralegal is a plus.
  • Demonstrated discretion, sound judgment and tact, is required.
  • Reading / writing / speaking in French is a plus.
