The Facilities Administrative Assistant is based out of the Arkema NA Headquarters in King of Prussia, PA. This position reports directly to the Senior Site Services Manager with some tasks coming from the Maintenance Manager. The Facilities Administrative Assistant is responsible for the processing of administrative requirements for the Site Services department. This position will perform all purchasing and accounts payable functions for the Site Services department. This position functions independently within a team to successfully complete all aspects of the position.

 

KEY ACTIVITIES

 

  • Responsible for processing administrative requirements of department such as purchase orders, invoice payments, etc. Supports managers with purchasing support as needed. Tracks purchase orders and invoices for ordering and complete payment. This includes assisting with department budget forecast and tracking project and framework POs.
  • Leads new and current contractors through the vetting process.
  • Documents and creates work requests from multiple sources (SAP, email and verbal requests).
  • Responsible for tracking, creating and closing work orders upon completion.
  • Works with team members to order material, schedule/coordinate work and send maintenance notifications.
  • Maintains group training records, MSM inspections, equipment list, equipment use records, SDS records and coordinates maintenance training schedule.
  • Performs site contact responsibilities for department on as needed basis.
  • Coordinates preventative maintenance work with internal staff and contracted support.
  • Process charge backs through the work order system to the R&D departments’ cost centers.
  • Tracks work completed by Chadwick for R&D process equipment work (hourly charges and materials).
  • Manages site-wide notifications.

 

REQUIRED EDUCATION AND QUALIFICATIONS

 

  • High school diploma or GED
  • 3+ years of experience in facilities/maintenance or manufacturing environment
  • Proficient in PC and MS Office
  • Experience in SAP is required
