Job Title: Plant Operations Administrator



Position reports directly to the St. Charles Plant Manager.



Functions as Administrative Assistant to Site Leadership Team and performs administrative duties for multiple departments. Serves as Document Control Administrator for site and as well as Human Resource Focal Point for a variety of HR related administrative activities.



HR Responsibilities – 25%

  • Coordinates Dashboard Pillar 6 (people systems) for the SCO site.
  • Initiates and coordinates community relation events under guidance of SCO Leadership team.
  • Serves as Wellness Champion for the site.
  • Coordinates paperwork for the tuition reimbursement program.
  • Provides administrative billing support for HR related vendors (ex. Talentwise, WorkSpend)
  • Serves as the backup administrative support coordinator for social media for plant on ANNA and Facebook.
  • Payroll Administrator
  • Timesheets creation/tracking/updates, hourly & NE OT
  • Kronos - adjustments, correction,
  • Monthly hours tracking and reporting
  • Vacation spreadsheets & Tracking, Shift Calendar creation
  • Payroll Support and Meetings
  • Creation and management of e-forms in LotusNotes for personnel actions.
  • Maintains organizational chart and employee roster.


Administrative Elements – 30%

  • Supports SAP requisitioning and invoice processing for laboratory and plant supplies.
  • Order miscellaneous supplies for the plant/maintenance department including office supplies (using P-card)
  • Maintain and order supplies for, providing meter readings as requested, and placing service calls as needed for the Canon printers.
  • Provides general administrative support for all office personnel as needed.
  • Arranges meals/catering for classes, meetings and special events.
  • Budgeting responsibilities
  • Create/maintain plant Services Purchase Orders
  • Service Entry Sheets management
  • Investigate SES discrepancies
  • Monthly Budget monitoring and forecast Meetings
  • Recognition Team Facilitator / track incoming nominations and publishing the Recognition Newsletter.
  • Manage the Data Destruction “shredding bins”.
  • Submit all red line updates of the P&ID drawings to Engineering Company (directions from Improvement Engr.)
  • Once updated, replace drawings in library as well as electronic.
  • Manage and maintain Library folders for all equipment


Management Systems – 25%

  • Supports compliance with AIMS, ISO9001 and ISO45001 policies and standards.
  • Supports pre-hire requirements and serves as coordinator for new hire onboarding process at SCO
  • Point of contact at SCO for coordinating on-site interviews of prospective employees
  • Supports coordination and orientation process for all new employees (requests A#, orders FR uniforms, assigns lockers, provides access to computer systems, e-mail, and software appropriate for job assignment; coordinates workspace/offices and office supplies)
  • Sets up hourly employees for KRONOS time-clock (for payroll)
  • Provides daily support, answers, supplies, etc. for new employees to enable a smooth and rapid transition to their new working assignment
  • Assists employee set up benefits, direct deposit, tax forms, and other HR related documents
  • Supports the SCO leadership team with AIMS Element 2 documentation for tracking, managing, and coordination of HR audit materials in order to maintain compliance with Arkema policies and regulatory agencies.
  • Serves as AIMS Element 3 coordinator for the SCO leadership team by providing timely, accurate, and effective written communication to support the needs of both internal parties (employees) and external parties (community, customer, regulatory, etc.)
  • Serves as the Document Control Administrator for SCO (SharePoint, eDMS, physical library, and W: drive).
  • Responsible for eDMS Libraries

  • Manage the Latex Information Center
  • Manage and maintain the Emergency Procedure binder located in the Control Room.


Miscellaneous – 20%

  • Completes miscellaneous projects as assigned from department leaders.
  • Pick up mail from Hahnville Post Office and distribute.
  • Send out packages through FedEx or UPS as requested.
  • Uniform provider primary contact; verify invoices, order new employee uniforms, etc.
  • Drinking water and coffee vender point of contact.



  • Supports the site HES policy and complies with all regulatory and internal requirements
  • Participates in HES activities provided by site management and Arkema Inc. (e.g., Behavioral Based Safety, SafeStart, etc.)
  • Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents
  • Identify and communicate potential gains or possible improvements to the management system.
  • Review work areas for potential losses and Report hazards to the direct supervisor.
  • Comply with all standard procedures and work instructions, aka SP, SOP, PWI, TM, to ensure productivity, quality assurance and cost effectiveness.
  • Comply with the rules of the specific location to which assigned as well as the rules set by the business unit (BU) and Arkema, Inc.
  • Must be able to lift packages up to 20 lbs. (Fed Ex, USPS, UPS). Work environment confined to the office and some light plant activities (weekly inspections for eyewash, safety shower, fire extinguishers)



  • High School diploma or equivalent required. Associates degree in business a plus.
  • Two - three years’ experience in a manufacturing office preferred.
  • Strong communication skills (written and verbal). Ability to work with little supervision.
  • Good knowledge of Microsoft Office and other PC applications. SAP experience desired. Strong Microsoft Excel and PowerPoint experience desired.
  • Ability to learn new computer programs used by company. Good computer skills.
