SITUATION IN ORGANIZATION

Position reports directly to the Logistics Leader within the Grand Rapids site.

 

JOB DIMENSIONS

The role is expected to support logistics department functions on-site as well as administrative duties

 

KEY ACTIVITIES AND RESPONSIBILITIES

Logistics Support – 70%

  • Coordinate with Supply Chain for the delivery and packaging of latex trucks
  • Complete SAP receipts for inbound shipments
  • Complete paperwork for outbound shipments as needed
  • Arrange LTL/Package carriers in coordination with logistics personnel
  • File logistics paperwork (CoA, Shipping/Receiving records, etc.)
  • Send out daily production flash report to stakeholders
  • Order logistics/production supplies in SAP
  • Process logistics/utility invoices (FedEx, labels, etc.)
  • Assist Logistics Leader in coordination of bulk carrier transportation for production orders
  • Assist in completing routine cycle count audits
  • Backup the Logistics Leader for inputting daily production data into SAP
  • Backup the Logistics Leader for inputting QC data into LIMS

 

Administrative Duties – 30%

  • Control site gate entry access for visitors, contractors, drivers and conduct entry screening
  • Support electronic document management systems (EDMS) by scanning equipment files/inspection documents into the system
  • Support EDMS coordinator efforts for improving the system by providing feedback on functionality
  • Update bulletin boards and employee information monitors throughout the site
  • Coordinate the hosting of site events, meals, celebrations, etc.
  • Coordinates the scheduling of on-site interviews between candidates and interviewers
  • Coordinate overtime coverage for logistics personnel
  • Processes and maintains bi-weekly payroll for hourly and SNE staff and payroll administration as well as maintain training records, vacation requests and time records (including tracking hours for plant dashboard)
  • Serves as backup payroll coordinator for N. Kansas City site
  • Inputs purchase requisitions and goods receipts
  • Processes blanket POs and service entry sheets
  • Other duties as assigned (i.e. backup duties for other business critical job functions)

  • Position will be located on-site

  • Comply with all Regulations, Legal and Internal Requirements of Arkema
  • Comply with the rules of the specific location as well as the rules set by the business unit (BU) and Arkema Inc.
  • Comply with all standard procedures and work instructions, aka SP, SOP, PWI, TM, to ensure productivity, quality assurance and cost effectiveness
  • Identify and communicate potential gains or possible improvements to the management system

 

REQUIRED EDUCATION/QUALIFICATIONS/WORK EXPERIENCE

  • High School diploma or equivalent required; Associate or Bachelor’s degree in business or related field preferred
  • Three or more years' experience in Logistics support and administrative work in a manufacturing / warehouse environment, preferably in the chemical industry
  • Strong communication skills (written and verbal); ability to work with limited supervision
  • Expertise in Microsoft Office and other PC applications; SAP experience desired
  • Good knowledge of ISO certifications and Arkema AIMS protocol
  • Ability to work with others internally and externally with professionalism
  • Excellent organizational skills
