The Sr. Executive Administrator is responsible for providing administrative support to the President Sartomer Americas (PSA), Global Marketing Director (GMD) and Sartomer's US Headquarters. The incumbent will carry out work assignments as directed by the PSA. Lead efforts to ensure smooth and efficient performance of the Sartomer US Headquarters including impact of office management of the Exton, PA. site, which houses over 70 employees. The incumbent will have frequent access to confidential information and files, interact with all levels of the organization and provide America's administrative support to the Sartomer CEO. This position reports directly to the President Sartomer Americas. 


Key Activities Include: 


Executive Administrative Support: 

  • Manages office activities for the PSA and GMD and their direct reports
  • Makes travel and lodging arrangements for PSA, GMD and CEO (when involving the Americas) including global travel/passports/visas.
  • Processes expense reports for PSA and GMD.
  • Manages calendar for PSA and GMD.
  • Organizes meetings, negotiating contracts for off-site meetings
  • Assists in preparation of presentation materials


General Administrative Support:

  • Assigns workspace for new employees: office set up for furniture, data lines and telephone
  • Leads pricing strategies to support budgets e.g. furniture quotes
  • Leads meetings regarding decisions on office closure.
  • Administers the employee emergency communication system.
  • Manages office budget to contain spending to agree upon levels.
  • Performs general administrative and office support activities for Exton offices
  • Enters requisitions and process invoices for payment in SAP for BU Corporate offices.
  • Sorts, distributes and prepares incoming and outgoing US mail and Fed Ex.
  • Maintains office supply inventory, purchases office supplies and other non-capital expenses.
  • Fill in for and/or assist other administrative personnel as needed
  • Supports immediate ad hoc requests for sales, marketing, supply chain, etc. for the Exton office.
  • Files, copies, and provides general computer input (Microsoft office)
  • Coordinate office group activities
  • Other duties as assigned


Special Project and Facility Support: 

  • Provide administrative support to Facility Manager and special project leaders for the Exton Location.
  • Solicits bids for all constructions projects as directed by facilities manager or project leader.
  • Communicates project impact to employees based at the site.

Fast paced environment. Requires ability to prioritize work based on input from multiple supervisors. Self-motivated;
quick to grasp new tasks and learn systems and procedures with little input from others.


Required Education/Qualifications/Work Experience: 

  • High school degree or equivalent required; BS or AS degree preferred.
  • Minimum 6 plus years administrative experience supporting Sr. Executives
  • Strong skills in Microsoft Office (Word & Excel) and SAP
  • Ability to solve problems and present solutions
  • Ability to influence without formal authority
  • Ability to maintain confidentiality
  • Ability to organize and prioritize tasks in a timely manner and react well under pressure and with interruptions
  • Ability to manage multiple tasks and projects concurrently and efficiently
  • Ability to work with and support different high level managers and styles of management
  • Ability to perform light lifting of office equipment (monitors, chairs, etc.)
