Facility Administrator Job

The Facility Administrator is responsible for operational and administrative support to the Birdsboro Plant Manager and management staff. This is a broad scope and highly involved business support position that interfaces daily with all levels of plant staff including department managers, supervisors, engineers, hourly employees in maintenance and operations, and others. The Facility Administrator is accountable for several key roles at the plant such as LMS Administrator, SAP Power User, SDS Administrator, SharePoint Administrator, among others. The services provided are essential for safe and efficient daily operations of the Plant.
This role is based out of the specialty polyamides manufacturing plant in Birdsboro, PA, and reports to the Plant Manager.
Key Activities:
Operational and Administrative Support
- Provides operational and administrative support to BBO Leadership in addition to below segmented departments, including MRP/stock room assistance, backup for HR tasks such as payroll, updating production schedules in timekeeping system, and other tasks for other departments as needed.
- Assists with Purchasing Card administration – facilitate the process for all p-card holders at the site to submit their monthly reports, verify reports have been filed, assist with filing and file report with Corporate.
- Resolve accounting issues for all departments at BBO including the input of M81N GRs for service requisitions, research and resolve any invoice issues, assist with manual checks as needed.
- Responsible for office supplies and facility contracts for entire BBO facility including uniform service company, Cintas, custodial service, and others. Work with contractors to provide quotes for facilities upgrades.
- Designated as the site SAP Power User. Will provide assistance and training to BBO employees, yearly cleanup of unused cost allocated to PO’s, and yearly follow up with suppliers on missing invoices, among related tasks.
- Blanket order administration for various suppliers which includes evaluating previous years cost and adjusting cost for the new year’s blanket. Enter requisition for each department that needs to be issued. Enter GR’s in SAP. Resolve any invoices issues.
- Other site tasks such as setting up meetings, ordering lunches, distributing the mail, among other tasks for a smooth running office environment.
Health Environment and Safety Support
- Site SDS Administrator which includes updating new revisions to existing chemicals in SAFETEC as needed, initiate CAP (Chemical Approval Process) for new chemicals and suppliers, and yearly cleanup of older SDS’s, among related tasks.
- Site (LMS) Learning Management System Administrator which includes adding contractors to the system, maintain and update CBT/ILT, assign Red Vector CBT’s as requested, create/upload/activate and assign new CBT’s, initiate updates to the system recommended by the Corporate LMS Team, review training activity on a quarterly basis
- Generate various other reports and information as needed by HES including end of month reporting.
- Responsible for tracking Reed cost for HES Manager.
- Receive action item request and enters into IMPACT, monitor action completions.
- Assist with on the job training setup and tracking including but not limited to first responder training.
Quality Control Support
- Responsible to make ISO documentation edits/corrections/deletions for the Birdsboro Plant.
- SharePoint administrator for the site. Upload new documents to SharePoint, set meta data, and verify functionality. Responsible to make changes/corrections to meta data in SharePoint and assist with documents that need workflow modifications. Responsible for the documentation assigned to administration.
- Maintain internal ISO raw material specifications & list of approved suppliers.
- Generate requisitions for the Quality Team as needed.
Required Qualifications:
- High school diploma or equivalent required, 2 or 4 year Business Administration degree preferred.
- Minimum 5 years office administrative experience, preferably in a manufacturing environment.
- Intermediate skills in Microsoft Office suite with emphasis on Word and Excel
- PA Notary Public desired or ability to attain credential
- Strong SAP experience
